MagicVault

Catalog. Organize. Preserve.

Your Magic Collection. Always At Your Fingertips.

Built for Magic Collectors

MagicVault is a collection management app built specifically for magic collectors. It is not a generic spreadsheet, and it is not a stock inventory tool repurposed for magic. Catalog every book, poster, prop, apparatus, DVD, and piece of memorabilia in your collection with the details that actually matter to a collector, generate insurance ready appraisal reports in one click, and tag your physical collection with QR codes you print yourself. Product is browser based and responsive to PC, Mac, smartphone and tablet!

More Than a Spreadsheet

Most collectors end up managing their collection across a messy pile of spreadsheets, photos scattered on their phone, and notes they can never quite find again. MagicVault brings all of it together in one place. Photos, provenance, condition, acquisition history, and current value are organized around how magic collectors actually think about their pieces, with fields for Effect Type, Inventor, Binding, and Circa Era tailored to each category of item you own.

Organize Every Piece of Your Collection

Every item gets its own record with photos, category specific details, freeform tags, and a status of Owned, Want, or Sold, so your want list and your active collection live in the same place without getting mixed up. A live dashboard shows your total items and collection value at a glance, and you can search or filter across everything by category, maker, tag, or plain text in seconds. Adding books is even faster with built in ISBN lookup. Scan or type the ISBN and the title, author, publisher, and cover photo fill in automatically.

Tag Your Collection, Digitally

Print QR codes for your own storage boxes and cases, then scan them with your phone to jump straight to that item's full details. No more digging through spreadsheets to remember what is in which box. For exhibits and shows, print public facing display cards sized for standard Avery perforated sheets that let visitors scan and see an item's story without exposing what it is worth.

Reports Built for Insurance

Generate a polished, insurance ready appraisal PDF for a single item or your entire collection, complete with photos, condition, provenance, and current value. Need something more specific? Build a custom report with exactly the fields you choose, for your whole collection or just what you have filtered.

Share Your Collection, On Your Terms

Publish a public, no login gallery page to show off your collection to other collectors or the wider magic community. You choose exactly which items appear, and monetary details like cost and appraised value are never shown publicly, no matter what. Sharing a new acquisition is just as easy. Generate a shareable image with the item's name, maker, and circa year and post it straight to Instagram or Facebook from your phone.

MagicVault — Complete Feature List

The magic collector's catalog, insurance appraisal system, and community — all in one place.

MagicVault was built from the ground up for people who take their magic collections seriously: performers, historians, and lifelong collectors who need more than a spreadsheet to track what they own, what it's worth, and what happens to it someday. Below is everything MagicVault does, organized by what it helps you accomplish.

Cataloging Your Collection

  • Built for every category of magic collectible. Books, posters, props and apparatus, illusions, DVDs and video, and memorabilia/ephemera each get their own tailored set of fields — not a generic "item" form stretched to fit. A book asks for author, ISBN, publisher, edition, and printing; a poster asks for the magician or show, version, and sheet size; a prop asks for effect type, inventor, and working condition. Your catalog reads like it was built by someone who understands magic, because it was.

  • Deep bibliographic detail for serious book collectors. Beyond the basics, MagicVault tracks binding type (with proper antiquarian terminology — full leather, half leather, vellum, and more, not just "hardcover"), printing versus edition (genuinely different things collectors care about), a dedicated Toole-Stott number field for citing Raymond Toole-Stott's definitive bibliography of English conjuring, and LOC/LCCN numbers where applicable. This is cataloging built to the standard serious book collectors actually expect.

  • Photos that do your collection justice. Upload as many photos per item as you want, straight from your phone or computer. Every photo is automatically resized and compressed on upload, so you never have to think about file sizes. A built-in editor lets you crop, rotate, and adjust brightness and contrast without leaving the app. Choose a cover photo for each item with one tap — that's the image used everywhere the item appears, from your main list to your public gallery to your printed tags.

  • Track exactly where everything lives. A dedicated Location field — fully searchable and filterable — means "which storage unit is my Thayer bell in?" is never a mystery again.

  • Manufacturer and Associated Performer tracking, done right. Build a reusable list of makers as you catalog, so "Owen Magic Supreme" is always spelled the same way across your whole collection. A separate Associated Performer field captures something different: which magician actually used or owned this specific piece — distinct from who manufactured it, and distinct from a poster's own "who's depicted" field.

  • ISBN lookup and barcode scanning for books. Type in an ISBN — or scan the barcode with your phone's camera — and MagicVault fills in the title, author, publisher, and year automatically, and even fetches the cover image as a photo. What used to take five minutes of typing now takes five seconds.

  • Freeform tags, thorough search, and real filtering. Tag items however makes sense to you, then filter your whole collection by category, maker, tag, or status — or just search across title, description, notes, tags, and even who you acquired something from. Switch between a detailed table view and a visual grid view depending on how you like to browse.

Valuation & Insurance-Ready Documentation

  • This is what sets MagicVault apart from a spreadsheet. Track acquisition price and date, current appraised value, and a full history of observed sales — auction results, dealer listings, anything you've personally seen — each with its own date, source, and price. A visual trend chart turns that history into an at-a-glance picture of how an item's value has moved over time, with your purchase price, every tracked sale, and your current appraisal each shown with their own distinct marker, plus a reference line marking the average of your tracked sales.

  • AI-powered value estimates. Not sure what something's worth? MagicVault can research comparable sales and give you a starting estimate, backed by real search — a genuine head start on an appraisal, not a guess pulled from thin air.

  • Professional, insurance-ready PDF reports. Generate a full appraisal document for your entire collection — formatted, organized, and ready to hand to an insurance agent — or build a completely custom report choosing exactly which fields, which items, and what order you want. Need documentation for a single piece? Generate a one-item appraisal PDF in seconds.

  • Privacy while you work. Appraised values and your total collection value are hidden by default, shown only as dots until you deliberately reveal them. Cataloging your collection while someone's in the room, or on a shared screen? Nobody sees a dollar figure unless you choose to show it.

  • Emergency planning, built in. A dedicated Emergency Information section lets you record up to five trusted contacts or dealers your family could call, an estate attorney or executor, an insurance reference, notes on where your collection physically is, and your own instructions and wishes — all private, all printable, so the people you trust actually have what they need if something happens to you.

Staying Organized as Your Collection Grows

  • Bulk tools for real collections, not toy demos. Select dozens of items at once and change a field across all of them in one action, add a tag to a whole batch without disturbing tags they already have, or delete a group of items together. Built for collectors with hundreds of pieces, not just a handful.

  • Find duplicates before they become a problem. A smart duplicate finder scans your whole collection for items that look like they were entered twice — smart enough to tell "Cups and Balls by Owen" and "Cups and Balls by Thayer" apart, since a common trick name made by different manufacturers isn't a duplicate at all. A matching tool finds and merges manufacturer name variants — "Abbott's Magic," "Abbotts," "Abbott Manufacturing" — into one clean entry.

  • Track loans and your want list. Beyond Owned and Sold, MagicVault tracks items you're actively looking for (with an optional public "Looking For" section other collectors can see) and items currently on loan to someone else — complete with who has it, when it's due back, and an automatic overdue flag if that date passes.

Physical Tagging for Your Real-World Collection

  • QR codes for every item, two ways. A private tag (scannable only from inside the app) and a public tag anyone can scan with their phone's camera to see that item's public listing.

  • Print directly onto real tag stock. Generate custom-sized fold-over string tags with the QR code on one side and the item details on the other, or print professional display cards formatted for standard Avery business card sheets — complete with a visual slot picker so you never waste a partially-used sheet, and batch printing for an entire collection at once.

Sharing With the World — On Your Terms

  • A public gallery, entirely opt-in. Nothing is ever shared until you explicitly choose to share it, item by item. Your public page never shows what anything cost or what it's worth — no acquisition price, no appraised value, no sale price, no matter what. You control exactly which fields show — maker, era, condition, and more — right down to the individual field.

  • A gallery worth visiting. Featured items get their own prominent showcase. Multi-photo items slowly crossfade between shots right on the card — with a one-click pause for any visitor who'd rather just see a still photo, and automatic respect for anyone whose device is set to reduce motion. Visitors can filter, search, and sort your public collection by date added, title, or manufacturer.

  • Turn your collection into a networking tool. Generate a shareable manufacturer showcase link, run a full-screen slideshow of your pieces, or share an individual item straight to social media with one tap — a clean image with the name, maker, and story, never the price.

  • Trade and sell within the community. Found another MagicVault user with something you want? Send them a direct in-app transfer offer — they accept or decline from their own inbox, and only then does the item actually move into their collection, complete with photos and any instructions PDF. What you originally paid and who you bought it from stay private, always — the recipient only ever sees what you choose to share about the transfer itself.

Your Data Is Always Yours

  • Import your existing spreadsheet in minutes. Upload a CSV from wherever you're tracking your collection now, and MagicVault intelligently maps your columns to the right fields automatically — including catching likely duplicates before they get imported twice.

  • Full export, always, on every plan. Download your entire collection as CSV or Excel any time, with no restrictions tied to your subscription. A complete ZIP backup goes even further — your full inventory, contacts, manufacturer list, and every single photo and instructions PDF, organized by item, ready to open on any computer with no login required.

  • Works even without a connection. Browse your collection offline — at a convention with spotty signal, in a basement storage unit with no bars — with a clear sync status so you always know your data is current.

Real Support, Not a Black Box

MagicVault is actively maintained and personally supported — not an abandoned app you're on your own with. If you ever run into trouble, there's a real person who can look into your account directly and help sort it out.

MagicVault — built for people who take their magic collections as seriously as their magic.
